One 300 AED per month subscription costs 3,600 AED a year, so an 18,000 AED custom app needs five years just to match it, before upkeep. Buy that one. A custom app wins when it replaces three or more subscriptions, kills per-seat fees, or does a job no product on the market does. The honest way to decide is to run the numbers for your own case, and below is how.
I build apps at ForgeApp, so I would love to tell you to build. I will do the opposite when the math says so. All the figures here use ForgeApp's published prices and a few external benchmarks that I link. The scenarios are illustrative, not clients.
What does "build vs buy" actually mean for an SME?#
Buy means a subscription product (a booking system, a CRM, a project tool) that you configure. Build means a custom app made for how you work, which you own. There is a third option many SMEs miss: vibe-code a small internal tool yourself. I cover that in vibe coding explained for business owners.
The decision is not "which is better". It is "which costs less over three to five years for the thing I need", with honest counts for upkeep.
How much does a custom app cost compared with a subscription?#
At ForgeApp the fixed launch prices are: Validator 6,000 AED (list 12,000), 7-Day MVP 18,000 AED (list 28,000) and Launch Ready 65,000 AED (list 75,000). Every build includes the Day-1 Blueprint: scope, estimate and risks on day one, with a full deposit refund if you reject it. For the full breakdown, see app development cost in the UAE.
The app is not free after delivery. Hosting, fixes and changes continue. For upkeep, published guides suggest budgeting roughly 15 to 25 percent of the build cost per year, per Netguru. On an 18,000 AED build that is 2,700 to 4,500 AED a year. I use that range below. Ask any builder, me included, to put the actual yearly figure in writing.
What is the honest break-even math?#
Here is the same 18,000 AED app against three realistic subscription situations. All figures in AED.
| Situation | Subscription cost per year | Custom app: build + yearly upkeep (2,700 to 4,500) | 3-year total, subscription | 3-year total, custom | 5-year total, subscription | 5-year total, custom | Verdict |
|---|
| A. One tool at 300 per month | 3,600 | 18,000 + 2,700 to 4,500 | 10,800 | 26,100 to 31,500 | 18,000 | 31,500 to 40,500 | Buy |
| B. Three tools at 300 each, replaced by one app | 10,800 | 18,000 + 2,700 to 4,500 | 32,400 | 26,100 to 31,500 | 54,000 | 31,500 to 40,500 | Build wins from year 3 |
| C. 12 seats at 60 per seat per month | 8,640 | 18,000 + 2,700 to 4,500 | 25,920 | 26,100 to 31,500 | 43,200 | 31,500 to 40,500 | Close at 3 years, build ahead by 5 |
Check my arithmetic: in B, subscriptions are 3 x 300 x 12 = 10,800 a year. Over five years that is 54,000, against 18,000 + 5 x (2,700 to 4,500) = 31,500 to 40,500. In A, you would need to keep the app for more than five years and it would still lose because of upkeep.
Two honest points follow from the table. First, a custom app almost never wins on subscription savings alone in the first two years. Second, it starts winning when headcount grows (situation C), because custom apps do not charge per seat.
What if the subscription does not fit my workflow?#
This is the strongest reason to build and the one most often skipped. If your team works around a tool, you pay twice: the subscription and the staff time.
Illustrative case D: you pay 300 AED a month for a tool that handles 80 percent of your process, and a staff member spends six hours a week on the rest by hand. At the 3,500 AED a month receptionist-level salary reported by GulfTalent, an hour of staff time is roughly 20 AED (3,500 divided by about 176 working hours). Six hours a week over 52 weeks is 312 hours, around 6,200 AED a year.
| Per year (AED) |
|---|
| Subscription | 3,600 |
| Manual workaround (my estimate: 312 hours x ~20) | ~6,200 |
| Total cost of the current setup | ~9,800 |
| Custom app upkeep if it removes both | 2,700 to 4,500 |
| Yearly saving | ~5,300 to ~7,100 |
| Payback on 18,000 AED | ~2.5 to 3.4 years |
I am making up the six hours and the hourly figure to show the method. Use your own. If your staff time is worth more, the payback shortens. If the manual work is occasional, it lengthens.
When should a UAE SME buy, not build?#
Buy when:
- The need is a commodity. Accounting, payroll, email, file storage, video calls. Thousands of businesses need the same thing, and the vendor spreads the cost.
- Regulation travels with the product. Payments are the clear case. If you are choosing a gateway, see Stripe vs Ziina vs Telr vs Tap vs Mamo.
- Your horizon is under two years. A business that might pivot should not sink 18,000 AED into a workflow.
- You have no one to own the app. A custom app with no owner decays.
- A good-enough product exists at a fair price. Be honest about "good enough".
When should a UAE SME build?#
Build when at least two of these are true:
- You are paying for three or more tools that overlap or only partly fit.
- Per-seat pricing grows with your headcount faster than your revenue.
- The workflow is your competitive edge, such as how you quote, schedule or onboard clients.
- Staff do manual workarounds every week.
- You need your own customer-facing experience, such as booking or a client portal, under your brand.
- You want to own the data and code and be able to move.
If you are unsure, the cheapest test is not a full build. The Validator at 6,000 AED (list 12,000) gets a landing page, basic login and a waitlist live in 3 days, so you can check demand before you build the product.
What are the hidden costs of subscriptions?#
They rarely show on the first invoice.
- Seat creep. Every new hire is another line.
- Tier jumps. The feature you need sits one plan up.
- Price changes. Vendors change plans often, which is the lesson in every AI tool price roundup. See how much AI costs a UAE SME per month.
- Lock-in. Ask how you export your data on the day you leave.
- Integration glue. Connecting five tools has its own hours.
What are the hidden costs of a custom app?#
Equally real:
- Upkeep, as above.
- Your time on the brief, feedback and testing. Writing a good brief is the highest-value hour you spend, which is why I wrote how to write a brief that gets a fixed price.
- Hosting, domain and any app-store fees, which I quote separately.
- Further features. A first version is a start, not a finish.
How do I decide in 15 minutes?#
- List every tool involved in the process. Add up the yearly cost.
- Add the staff hours spent on workarounds, at a realistic hourly cost.
- Subtract 15 to 25 percent of a quoted build price as yearly upkeep.
- Divide the build price by the yearly saving.
- If the answer is under three years and you can name an owner, build. Over five, buy. Between, test with a Validator first.
Questions#
Is a custom app cheaper than a SaaS subscription?#
Rarely for one tool. One 300 AED per month subscription costs 3,600 AED a year, so an 18,000 AED app takes five years just to match it, before maintenance. It wins when it replaces several subscriptions, removes per-seat fees or fixes a workflow the subscription cannot do.
How do I calculate the break-even of a custom app?#
Divide the build price by your yearly saving. Yearly saving is the subscriptions you cancel, plus the staff hours you save, minus the yearly running cost of the app. Published guides suggest budgeting 15 to 25 percent of build cost per year for maintenance.
When should a UAE SME definitely buy, not build?#
For commodity needs such as accounting, payroll, email and payments, and for anything where the vendor carries regulatory compliance for you. If your horizon is under two years, buy.
How much does a custom app cost with ForgeApp?#
A 7-Day MVP is 18,000 AED at the launch price (list 28,000), with the Day-1 Blueprint included. The Validator is 6,000 AED (list 12,000) and Launch Ready is 65,000 AED (list 75,000).
What are the hidden costs of a subscription?#
Per-seat fees that grow with headcount, price rises, limits that force you onto a higher tier, and lock-in when you cannot export your data cleanly. Count them over three to five years, not one month.
